Privacy policy
This is how No-Seat treats the people, emails, and payment records that pass through an event — not a generic SaaS template.
Last updated October 18, 2026.
Who this covers
This policy describes how No-Seat handles information when you use the website, organizer dashboard, volunteer magic-link portal, QR check-in kiosk, and billing pages.
Organizers create an account. Volunteers typically do not. Both groups still share some information with us so an event can run. Paid organizers also share billing details with our merchant of record, Paddle.
Information we collect
Organizers: name and contact details through our sign-in provider (Clerk), plus the events, shifts, tasks, and waiver files you create.
Volunteers: the name and email you enter on a magic link, which shifts you claim, checklist progress, signed-waiver files you upload, and check-in time if you scan at the door.
Billing: plan, subscription status, Paddle customer and subscription IDs, price IDs, amounts, and a ledger of webhook events we store so your workspace stays in sync. Card numbers are collected by Paddle, not by No-Seat.
Technical data: basic device and log information needed to keep the service running and secure.
How we use it
To operate the product you asked for: rosters, shift capacity, live check-in, waiver tracking, and plan limits for that organizer.
To authenticate organizers, protect magic-link tokens, and apply the Starter, Organizer, or Festival entitlements that match your subscription.
We do not sell volunteer or organizer lists. We do not use volunteer emails to market unrelated products.
Who can see it
Organizers on an event can see that event’s volunteer names, emails, shift assignments, check-ins, and waiver status.
Other volunteers on the same event do not get a public directory of emails. Live kiosk screens show names (and shift titles) to people physically at the event.
Infrastructure providers that host the app process data on our behalf: Clerk for organizer login, Convex for the database and files, and Paddle for checkout, invoices, tax, and subscription billing.
How long we keep it
Event and volunteer records stay until the organizer deletes the event or asks us to remove them, or until we close an unused account after a long period of inactivity.
Billing records stay as long as we need them to provide the subscription, handle refunds, and meet tax or accounting duties. Magic link tokens can be rotated by the organizer at any time.
Your choices
Organizers can edit or delete events they own from the dashboard, and can manage or cancel a paid plan from Billing (which opens the Paddle customer portal).
Volunteers can ask the organizer, or us, to correct a name or email, or to remove their record after an event.
To request deletion or ask a privacy question, email hello@noseat.app. Related pages: terms, policies, refunds, and cancellations.
Children
No-Seat is aimed at organizations running events, not at children creating their own accounts. If you believe we stored a child’s information in error, contact us and we will delete it.
Changes
If this policy changes in a material way, we will update this page and the date above. Continued use of No-Seat after an update means the new policy applies to later use.
